Step 3: Audit the Production Line & Quality Control Process

A certificate says a system exists. A walkthrough shows whether it runs. Ask the factory to walk you through the actual flow from incoming material to finished, packed unit, and stop at each quality-control gate. What you want to see is not a spotless showroom but a repeatable sequence with people who can explain it.

  • Incoming inspection. How are raw materials, steel sheet, castors, motors, and electronic modules checked before they enter production? Is there a record?
  • In-process control. Are there checkpoints mid-assembly, or does a unit travel from start to packing without inspection?
  • Electrical safety testing. For powered devices, is there a test station performing insulation resistance, earth continuity, and leakage current checks before packing?
  • Calibration. Are the measuring instruments on the line calibrated? Ask to see the calibration records and the due dates.
  • Traceability. If a batch fails later, can the factory trace a finished unit back to the components that went into it? That requires batch numbers and records, not memory.
  • Packing and pre-shipment. What does the final inspection cover, and is there a written report you receive with the shipment?

A clear sign of a mature factory is that it volunteers this information and produces records on request. A factory that hesitates, or answers every quality question with “we do that, trust us,” is telling you how the relationship will go.

Step 4: Ask for a Real Sample, Not a Catalog

A catalog photo is marketing. A sample is evidence. Before you commit to a bulk order, buy a sample unit and test it the way your own customers will use it. If possible, ask for a unit pulled at random rather than one prepared specially for the visit — the sample you receive should be representative of production, not hand-assembled for approval.

On the sample, evaluate four things that cannot be judged from a photo or a spec sheet:

  • Build quality and finish. Weld seams, powder coating, panel fit, cables, stickers, and nameplates. Small inconsistencies at this level predict bigger ones at scale.
  • Controls and documentation. Does the control panel work as described? Does the unit arrive with the manual, labels, and markings you need for your market?
