What the room needs is the drawing set that shows where it goes when it moves: a dimensioned plan view and a reflected ceiling plan drawn to the same scale and the same datum, the ceiling axis and pivot points, every arm length, the maximum rotation at each joint with its mechanical stops, the minimum and maximum reach, and the complete installed envelope including the head, shelves, monitors, handles and cable loops. On the same sheets, the ceiling storage, the imaging arm, the door swing, the diffusers and the light fixtures must appear, because a clearance checked against an empty ceiling is not a check. Then there is the part almost no factory sends: the vertical stack-up, the service position and the drawing governance that says which revision governs.

The Catalogue Outline Is Not a Clearance Drawing

A product drawing exists to show a component. A coordination drawing exists to prove that two objects do not occupy the same space at the same time. The difference is not cosmetic. The product drawing shows the pendant arm at a convenient angle, without the monitors mounted, without the shelves loaded, and without the brake released. The coordination drawing shows the pendant at its worst case: the arm at full extension over the table, the head rotated toward the storage, the shelf at the point where it passes closest to the imaging arm, and the cable loop at its lowest.

Ask for the second kind and expect to be asked why. The answer is that the check happens on paper because the check on site happens once. A pendant that fouls a ceiling storage unit is discovered at installation, when the ceiling is closed, the anchor is set and the room is full of other trades. Finding it in a drawing review costs a revision. Finding it in the room costs a relocation with structural consequences.

The Drawing Set to Require

Four sheets, at minimum. A plan view at a stated scale, showing the room outline, the table, the pendant’s ceiling axis, the pivot points and the swept arcs at each joint. A reflected ceiling plan showing the same pendant data against the ceiling services: storage, light fixtures, diffusers, sprinklers, track, and the imaging arm’s own ceiling support. A dimensioned elevation or section showing heights, because a plan cannot show a height and half the conflicts here are vertical. And an envelope sheet showing the installed extremes with the accessories fitted, marking the maximum horizontal reach, the lowest point of the head, and the highest point reached when the arm is raised for service.

Each sheet should carry its own revision and the model it belongs to. A drawing that covers a family of pendants without saying which configuration it describes will be used to check the wrong one. The ceiling is also not free space: air devices sit where the ventilation design puts them, and ventilation for health care spaces is governed by standards published by bodies such as ASHRAE, so a diffuser cannot simply be moved to make room for a pendant without reopening a design question. The ceiling interface proof pack for a surgical light follows the same logic, and where both devices hang from the same ceiling, the two packs have to be checked against each other rather than separately.

The Vertical Stack-Up Nobody Draws

Most clearance reviews stop at the plan, and the plan cannot show the collision that matters most: the pendant head at its lowest point against the bottom of a ceiling-mounted storage cabinet, the door head as the arm swings past the entrance, the underside of a laminar flow canopy, or the top of the light head when the pendant is parked above the table. Build a stack-up table for every position on the arc that comes near an obstruction, and for each one record the level of the pendant component and the level of the obstruction.

The table also forces a decision that drawings avoid: which component is allowed to be nearest, and by how much. A pendant may clear the storage in the working position and foul it only when the arm is raised or when a monitor is tilted. Those are different failures with different fixes, and the table separates them. It also gives the contractor a way to check after installation without re-reading the whole package.

Service Position, Stops and Drift

Equipment is maintained in positions it does not work in, and those positions are rarely in the sales literature. Ask for the maintenance posture: how high the arm is raised, which way it swings to be locked out, and what access the technician needs above and beside it. A pendant that clears everything during surgery may still need a ceiling access panel that has been tiled over.

Then ask about the stops and the brakes. Where are the mechanical stops, and are they adjustable on site? What happens when the arm is pushed past its intended position, and how much drift is expected after the brake is released and re-applied? A design that relies on a brake holding an arm in a position against gravity has a service life, and the room check should confirm that the position it drifts to is still clear. Write the drift allowance into the acceptance, so that the installed unit is judged against the drawing rather than against the installers’ optimism.

Drawing Governance: Whose Drawing Governs

In any hospital room, at least three sets of drawings exist: the consultant’s room layout, the equipment factory’s coordination drawings, and the contractor’s installation drawings. They will disagree, and the disagreement will be silent unless someone rules on it. Agree at the start which drawing governs for which category of information: the room geometry comes from the building design, the equipment envelope comes from the factory, and the position of ceiling services comes from the services design. Then agree that the factory’s coordination drawing is the document used for the clearance check, and that its revision is recorded in the review minutes.

Fix the overlay protocol as well. Same scale, same datum point, same north, and the pendant’s ceiling axis located from two orthogonal dimensions rather than from a convenient wall. A review that overlays drawings at different scales proves nothing except that paper is transparent. What the factory must document about pendant shelves is a reminder that the accessory configuration changes the envelope, so the drawing revision and the configuration revision have to move together.

Check It in the Room, Not Only on the Table

The drawing review settles what should be installed. The site check settles what was. After the pendant is hung and before the ceiling is closed or the finishes are made good, swing the arm to each of its stop positions and verify the clearance with a plumb line from the ceiling obstruction down to the pendant’s highest point, and a tape from the pendant’s lowest point to the obstruction’s underside. Photograph each position with the tape visible. That record is what turns a cleared drawing into a cleared room, and it takes an hour.

Do it before the other trades finish, because the point of the exercise is to leave the room able to be finished. A pendant that needs a different anchor position is a small problem at this stage and a large one after the ceiling tiles are in.

Record the check in a form the hospital can file with the room’s handover pack: the drawing revision used, the stop positions tested, the measured clearances at each, the date and the names of the people who checked and witnessed. Commissioning documentation usually records that the equipment works; this record documents that it fits, which is a different question and one that resurfaces every time the room is refitted. The stamped load declaration is the structural half of the same handover, and the envelope record is the geometric half.

When the Pendant Cannot Clear

The review sometimes ends in a genuine conflict, and it is worth knowing the options before the meeting rather than inventing them in it. Shortening an arm reduces reach and may fail the clinical requirement. Relocating the pendant moves the ceiling axis and therefore the anchor and the services. Raising or shortening the storage unit changes the room’s storage capacity. Reducing the accessory envelope removes shelves or monitors that the clinical team asked for. Swapping to a ceiling rail or a different pendant configuration changes the structural interface.

Each option has a cost and a professional owner, and the drawing review is the cheapest place to discover which one is unavoidable. That is the real argument for doing this work on paper: not because paper is more reliable than the room, but because the room is expensive to change and the drawing is not.

What to Ask For, in One Email

Ask the factory for the plan view, the reflected ceiling plan, the elevation, and the envelope sheet, all at a named scale with a stated datum, all revision-controlled, all showing the accessories in their installed configuration. Ask for the pivot locations, arm lengths, rotation limits and mechanical stops, the maintenance posture, and the brake drift allowance. Ask which drawing governs if theirs and the consultant’s disagree. Then ask for the site verification method and its acceptance tolerance in writing, so the installation is checked against the same document the review used.

Add one clause that costs nothing now: the factory will notify you in writing if a design, accessory or component change alters the envelope. That single sentence is what keeps a cleared room cleared when a model revision arrives six months into the project.

A catalogue outline shows the pendant standing still.
