It carries the manufacturer’s identity, the device identification, the batch or serial reference, and often symbols whose meaning is standardised. Getting it wrong is not a design issue; it is a compliance finding, and it can stop a shipment at a border.

For exporters, the difficulty is that requirements differ between markets while the product is the same. A single label rarely satisfies everyone, and the sensible approach is to design the label set deliberately rather than to adapt a domestic design after the first order.

What a Label Has to Carry

The core fields are consistent across most regulated markets. The manufacturer’s name and address, a device description, the model or reference, a batch or serial number, a manufacturing date, and where relevant a use-by or sterilisation date. Storage conditions and any handling warnings belong on the label or the accompanying documentation.

Device identification adds a further layer in several markets. A unique device identifier consists of a device identifier for the model and a production identifier for the specific unit or batch, and it is normally carried as a machine-readable code alongside the human-readable text.

Where the manufacturer is not the entity responsible for the market in question, that entity’s details may also be required. For an exporter selling under another company’s brand, this is a specification decision with legal consequences, and it belongs in the supply agreement rather than in a printing instruction.

Language and the Uses of Symbols

Language requirements vary. Some markets require the label in the local language, others accept English, and several accept a combination. Where multiple markets are served from one production run, the usual solutions are market-specific labels applied at packing or a multi-language label that carries all required languages.

Multi-language labels have a practical limit. Past a certain number of languages the label becomes small enough that legibility suffers, which creates its own non-compliance. Market-specific labels cost more in inventory but produce a cleaner result and avoid the risk of shipping the wrong language variant.

Standardised symbols exist precisely to reduce the translation burden. Recognised symbols can replace translated text where the market accepts them, which is why symbol use is regulated rather than optional: an incorrect or non-recognised symbol is a labelling defect. Which symbols are accepted, and in what combination with text, is a market-specific question, and the device labelling framework is set out within eCFR Title 21 Chapter I Subchapter H, medical devices for the United States.

Labelling Meets the Equipment Reality

Equipment labels have a durability requirement that a carton label does not. A label on a device must remain legible through cleaning, disinfection and the working life of the equipment, so the substrate, adhesive and printing method have to be chosen for the cleaning regime rather than for the printing process.

Chemical exposure is the usual cause of failure. Alcohol-based disinfectants attack some adhesives, and repeated wiping lifts an edge that then catches. Specifying the cleaning agents the device will meet, and choosing a label system rated for them, prevents a problem that is otherwise discovered during a regulatory inspection.

Where a device carries gas outlets, connectors or other interfaces with their own identification requirements, those markings are part of the same labelling scheme and must be consistent with it. The coding conventions for such interfaces are described in our notes on gas outlet colour coding and pin indexing, and they are a good example of markings that are regulated rather than chosen.

Version Control and Change

Labels change, and the change has to be controlled. A new batch number format, a change of responsible entity, a revision to a symbol: each requires a label revision with a version number, a record of what changed and when it became effective, and a means of knowing which production runs carry which version.

Without that control, an audit finds labels on stock that do not match the current approved artwork, and the explanation is difficult. The mechanism is unglamorous: a label specification in the device file, a revision number printed or recorded with the artwork, and a change notice process that treats a label change like any other specification change.

The supporting documentation follows the same discipline. Records that accompany the device, including calibration and test documentation where applicable, should reference the same identifiers as the label so that a unit in a hospital can be traced back to its file. How those records are structured is covered in our notes on calibration records, and for connected equipment the identification question extends to software and its versioning, as our cybersecurity notes describe.

A Labelling Specification for an Export Programme

Six items make an export labelling specification workable: the required fields per market, the language requirement per market, the symbols accepted per market, the UDI arrangement where required, the label substrate and adhesive chosen against the cleaning regime, and the version control method.

Building it as one document, rather than as a set of per-market instructions, exposes the conflicts early. A symbol accepted in one market and not another, or a language combination that makes the label too small, is much cheaper to resolve at specification stage than after artwork is approved.

The final check is a physical proof on the actual substrate, applied to the actual surface, cleaned with the actual product. Labels behave differently on a painted steel panel and a moulded plastic housing, and the difference only becomes visible under repeated cleaning. Our OEM and localisation service builds the label set with the market requirements attached, so the artwork order and the compliance file are produced together rather than sequentially.

FAQ

What is a UDI and why does it matter?

A unique device identifier identifies the device model and the specific unit or batch through standardised codes, supporting traceability, recall and post-market surveillance.

Can one label serve several markets?

Sometimes.
